What is a time card?
A time card (or timesheet) is a record of the hours someone worked in a pay period. Each day shows when the person started, when they finished and how much unpaid break time to take off. Employers add the days up to work out pay, and employees keep their own to check that a pay slip is right.
This calculator builds the card for you. It works for a week, a fortnight, a month or any span from one to 31 days, and it does the adding, the subtraction of breaks and the overtime split.
How to fill in the time card
- Set the Start Date and End Date of the period. One row appears for every day in between, labelled with its day of the week. The default is a Monday-to-Sunday week.
- For each day enter the In time, the Out time and the Break to deduct. Weekdays start filled with 09:00 to 17:00 and weekends are left empty, and the rows are refilled this way whenever you change the start or end date; leave a day blank if you did not work.
- Choose an Overtime rule: none, after 7 or 8 hours a day, or after 40 hours a week.
- Optionally enter an Hourly Pay Rate, and change the Overtime Pay Rate multiplier (the default is 1.5 times the regular rate).
- Press Calculate Time Card.
The result shows regular hours, overtime hours and total hours, with the total also written as hours and minutes. With a pay rate you also get regular pay, overtime pay and gross pay, and a table lists the hours for each day. A day only counts when both an In and an Out time are entered; a day with just one of them is treated as not worked.
How to type break times
Write breaks as two-digit hours and two-digit minutes, separated by a colon, a dot or a hyphen. Anything else is read as a whole number of hours, which can surprise you if you type a short form.
| You type | Deducted | Why |
|---|---|---|
| 00:30 | 30 minutes | standard format |
| 00.45 | 45 minutes | dot works like the colon |
| 01-15 | 1 hour 15 minutes | hyphen works like the colon |
| 00:75 | 1 hour 15 minutes | minutes above 59 are simply added |
| 1:00 | 1 hour | read as the whole number 1 |
| 1:30 | 1 hour | single-digit hours are not split, so the 30 is lost; type 01:30 |
| 0:30 | nothing | read as the whole number 0; type 00:30 |
| 2 | 2 hours | a plain number means hours |
Overtime rules
- No: every hour is regular.
- After 7 hours a day or After 8 hours a day: on each day the hours up to the limit are regular and anything beyond it is overtime.
- After 40 hours a week: the first 40 hours of the period are regular and everything beyond is overtime. The limit is applied to the whole period you selected, not week by week, so choose a seven-day range when you want a true weekly figure.
Overtime law varies. In the United States the federal Fair Labor Standards Act generally requires non-exempt employees to receive at least one and a half times their regular rate for hours over 40 in a workweek, and a few states, California among them, also set daily limits. Other countries have their own thresholds. Check which rule applies to you before relying on the output.
Worked example
A week from Monday 12 October to Sunday 18 October 2026, weekend off. The hours for each day are the Out time minus the In time minus the break.
| Day | In | Out | Break | Hours |
|---|---|---|---|---|
| Mon | 08:30 | 17:15 | 00:45 | 8.00 |
| Tue | 09:00 | 18:30 | 01:00 | 8.50 |
| Wed | 08:00 | 16:00 | 00:30 | 7.50 |
| Thu | 07:30 | 17:30 | 00:30 | 9.50 |
| Fri | 09:00 | 15:00 | 00:30 | 5.50 |
With no overtime rule all 39.00 hours are regular. At $22 an hour that is 39 × 22 = $858. With After 8 hours a day, Tuesday contributes 0.5 overtime hours and Thursday 1.5, so overtime is 2.00 hours and regular hours are 37.00. At a 1.5 multiplier the pay is 37 × 22 = $814 regular plus 2 × 22 × 1.5 = $66 overtime, a gross of $880.
Choosing After 40 hours a week for the same week gives no overtime at all, since 39 hours is under the limit, and the pay returns to $858.
Minutes to decimal hours
Payroll systems usually want hours as decimals. Divide the minutes by 60 and add them to the whole hours. The calculator shows both forms, so 7 hours 40 minutes reads 7.67 (7:40).
decimal hours = hours + minutes ÷ 60
| Minutes | Decimal | Minutes | Decimal |
|---|---|---|---|
| 5 | 0.08 | 30 | 0.50 |
| 10 | 0.17 | 40 | 0.67 |
| 15 | 0.25 | 45 | 0.75 |
| 20 | 0.33 | 50 | 0.83 |
| 25 | 0.42 | 55 | 0.92 |
The timesheet converter does this conversion for a single value, and the hours between times calculator gives the length of one shift.
Limits and tips
- Overnight shifts. Each row compares the In and Out times of the same day as a plain difference, so a shift from 22:00 to 06:00 is counted as 16 hours rather than 8. Split such a shift across two days at midnight.
- Rounding. Some employers round clock times to the nearest 5, 6 or 15 minutes. Enter the times your employer uses, not the raw punch times.
- Unpaid versus paid breaks. Only enter breaks you are not paid for.
- Period length. More than 31 days, or an end date earlier than the start date, is rejected with a message.
For counting working days rather than hours try the business days calculator, and for adding or subtracting clock times the time calculator.
Pay and overtime figures are estimates for your own record keeping and not payroll, legal or tax advice. Your employer's system and local law decide what you are actually paid. See the disclaimer.
Frequently asked questions
How do I calculate hours worked from a time card?
For each day subtract the start time from the end time, subtract unpaid breaks, then add up the days. For 08:30 to 17:15 with a 45-minute break that is 8 hours 45 minutes minus 45 minutes, or 8 hours.
How long can the period be?
From one to 31 days, so a week, two weeks, a semi-monthly period or a calendar month all fit.
How is overtime pay calculated?
Overtime hours are multiplied by your hourly rate and by the overtime multiplier, which defaults to 1.5. Regular hours are paid at the plain rate and the two amounts are added to give gross pay.
Why does my overnight shift show too many hours?
The calculator subtracts the two times within a single row, so 22:00 to 06:00 is read as 16 hours. Enter the part before midnight on one day and the part after midnight on the next.
Can I print the time card?
Use your browser's print command after calculating. The page shows the daily hours table that you can keep for your own records.
